Purpose:

This position provides the mailroom supervisor function and associated services to our client's  premises at 1 Macquarie Place, Sydney NSW 2000.

The position is to manage and facilitate all aspects of the mail and archive services and team leadership to the DBL Site Team, via the direction of DBL and CBRE, ensuring the facilities are professionally managed and maintained, customers are dealt with proficiently and to the utmost standards in accordance with the required processes and policies, and DBL’s, Client's and CBRE’s corporate images and reputations are maintained at all times.  

All duties performed must comply with company standards, policies and procedures and be carried out with a focus on exceptional customer service delivery at all times.

General Requirements:

The position must possess the following qualities, as a minimum:

  • Excellent interpersonal skills
  • Ability to respond to enquiries and requests in a prompt and professional manner
  • Be a point of information of the building, and understand all parts and functions of the premises and occupancy details within the building
  • Be familiar with all house rules of the building and be able to provide clarifications and directions in a correct and clear manner upon enquiry
  • Have immaculate presentation at all times, with attention to detail

Key Accountabilities:

  • Leadership and management of the Site Team
  • Alongside leadership duties, the Supervisor is expected to perform all Mailroom duties required of their team of Mailroom Operators, including sorting inbound mail, preparing outbound consignments, and performing mail runs.
  • Management of the following services to client (list not exhaustive):
    • Internal/Inter Office Mail- Incoming and Outgoing
    • External Mail - Incoming and Outgoing
    • International Mail
    • Domestic and International Couriers- Incoming and Outgoing
    • Fulfilment services (preparation of items for dispatch and delivery of items such as copier paper to printers and central copy rooms)
    • Porterage (where applicable)
    • Loading Bay Management (where applicable)
    • Records and Information Management (where applicable)
    • All incoming mail and deliveries shall be sorted and subject to other scrutiny as specified by the Client in accordance with Client’s policies and procedures.
    • Ensure that all site staff have received adequate and up-to-date training for this purpose.
