About The Role

We’re looking for a reliable and customer-focused Mailroom Officer to manage end-to-end mail collection and distribution services across our client premises. This is a hands-on operational role that sits the heart of our facilities team, ensuring all inbound and outbound mail and courier services run smoothly, safely, and on-schedule.

Responsibilities
In this role, you will be responsible for:
Daily Operations
- Opening and closing the loading dock roller door at 8:00am and 4:06pm respectively (remaining on site as needed for late courier arrivals).
- Operating the mailroom and managing all inbound and outbound mail and parcel activity.
- Processing incoming mail and parcels from Australia Post (via MailPlus), sorting into mail trays, and notifying recipients via email.
- Accepting deliveries from couriers, recording items, notifying staff, or delivering to their desk as requested.
- Managing work in progress at the end and beginning of each day to ensure items are not left unprocessed.
- Maintaining relevant registers, logs, and records for the loading dock and mailroom.
Outgoing Mail and Courier Management
- Processing outgoing letters and parcels using the franking machine or Australia Post statement, including Registered and Express Post items.
- Coordinating outgoing courier shipments (non-dangerous goods only) with approved providers:
- Team Global Express – overnight domestic delivery
- Allied Express – same-day delivery (1 business day advance notice required)
- FedEx – international delivery
- Border Express – pallet shipping within Australia
- Identifying and escalating dangerous goods to the appropriate partner. (Do not process dangerous goods independently.)
- Arranging book courier pickups as requested by staff.
- Providing shipment tracking and proof of delivery upon request.
Inventory and Supplies
- Monitoring and maintaining stock levels of Australia Post packaging, shipping supplies, and courier materials.
- Performing regular stocktakes and place orders as required.
- Assisting staff with packaging items where reasonable.
Customer Service and Stakeholder Support
- Delivering face-to-face, phone, and email customer service to building occupants.
- Assisting Facility Coordinators/Managers and the Building Manager with reasonable requests.
- Proactively notifying staff of outstanding items awaiting collection in the mailroom.
- Maintaining a professional and hospitable approach at all times in line with the end-user experience standards.
Facility and Safety
- Managing the electric stacker log, recording usage and operators as required.
- Assisting with forklift management and bulky item storage.
- Adhering to all Workplace Health, Safety, and Environmental (WHSE) policies and procedures.
- Complying with all on-site security and privacy requirements.
Required Skills, Qualifications & Attributes
To be successful in this role, you’ll need:
- An ability to safely lift and handle boxes of varying weights and dimensions.
- Prior experience in a mailroom, logistics, or facilities support role (preferred but not essential).
- Strong customer service skills with a professional, hospitable manner.
- An ability to learn site-specific procedures quickly and follow them consistently.
- Reliability, punctuality, and self-motivation with a positive attitude.
- Proficiency in using email and basic computer systems for notifications and record-keeping.
- Professional presentation at all times.
- Commitment to safety, privacy, and compliance requirements.
